1. Purpose of the Call
The present call aims to support the joint organisation of cross-border conferences and other research events addressed to knowledge transfer within Task 3.2 (Research and Innovation Network) of the Across Alliance.
The programme seeks to strengthen cooperation among partners, foster research and innovation networks, and enhance the international visibility of the alliance.
2. Available budget
The total available budget for this grant programme is EUR 48,000 under the budget line Across-Border Research Conferences – Organisation costs, under Task 3.2 of the Across Alliance.
Costs are covered centrally by the University of Girona.
3. Eligible applicants
Eligible applicants are partners of the Across Alliance consortium acting as an organising institution.
Number of applications per partner university per call is not limited
Applications must be submitted jointly by two or more partners. Only the partner hosting the event will be the recipient of the grant. The partner hosting the conference will submit the application on behalf of the group of entities organising the event.
4. Eligible activities
Eligible activities include conferences, congresses, workshops, seminars, symposiums, hackathons and other research networking events.
Activities must be organised in on-site or hybrid format, have a cross-border dimension, must address at least one of the four focus areas of the alliance and ensure visibility of the Across project.
5. Grant amount and support
A maximum of four conferences per year will be funded under this call.
Each selected conference will receive a fixed grant of EUR 4,000.
Selected events will benefit from dissemination through the Across communication channels and linked networks.
6. Double funding and co-funding principle
Applicants must declare that the proposed activity does not receive double funding.
The grant must no cover 100% of the expenses related to the conference in order to respect the co-financing principle, whereby the Union contribution is limited to a maximum co-financing rate and does not cover the total cost of the operation, in accordance with Regulation (EU) 2021/1060.”
7. Call schedule
First call window: 1 March to 30 April for conferences in the second half of the current calendar year. Exceptionally, the first call for 2026 will open 1 May and close 30 June.
Second call window: 1 September to 31 October to 30 November for events in the first half of the following calendar year.
8. Submission of applications
Applications must be submitted by email to across.coordinacio@udg.edu.
Applicants must submit the Application Form (Annex I) including the Conference Budget
9. Evaluation procedure
Applications will be evaluated within ten days after the submission deadline.
Only the eligibility check will be done at this stage.
10. Selection of proposals
If the number of eligible applications exceeds available grants, a random draw will be conducted.
Priority will be given to institutions that have not previously received funding.
Non-selected proposals may be prioritised in future calls.
11. Notification of results
Applicants will be notified by email within five working days after selection of proposals.
A five-day appeal period will follow notification.
Final list of selected proposals will be published on the Across website and the proposals’ representatives will be notified and contacted in order to proceed with the funding process.
12. Grant agreement and payments
Selected proposals will be formalized through a Grant Agreement between the granting University and the beneficiary, regulating the implementation of the funded conference, including financial provisions, obligations, reporting and recovery conditions.
80% of the grant will be paid as pre-financing and 20% after approval of the Technical and Final Report (Annex II).
13. Obligations of beneficiaries
Beneficiaries must implement the event and submit the final report.
Beneficiaries must include an explicit mention of the Across contribution in any public document or communication related to the conference under this grant.
Failure to implement the activity will require repayment of the advance.
14. Reporting and justification
The final report must be submitted within 30 days after the event.
15. Principle of novelty
To foster openness, diversification, and the expansion of the participant base, this call incorporates the principle of novelty, aimed at promoting the participation of entities that have not been beneficiaries in previous editions.
Priority may be given to partners who have not yet received funding under this grant programme, but this should not prevent other partners from applying.
